An assistant that knows which information it should use.

Softglimmer plans and develops AI assistants and chatbots for Chicago businesses that have a useful, bounded question-answering or support task. We scope the knowledge, audience, interface, approved connections and human operating responsibilities before treating automation as a solution. Delivery is remote from Ranchi. The document-edition example below illustrates how an assistant might handle ambiguous product information; it is not a claim about a Chicago client, a completed chatbot deployment or a guaranteed answer-accuracy result.

Useful answers within an approved knowledge boundary.
  1. 01

    Select approved knowledge

Define the material and audience in scope.

  2. 02

    Answer with context

Show relevant sources and clarify uncertainty.

  3. 03

    Keep a human route

Give unresolved questions a responsible destination.

An example journey, shaped around your requirements.

Define the assistant's job and its limits before selecting a model.

An assistant should have a task that can be reviewed: helping a visitor find approved information, helping staff navigate an authorised knowledge set or collecting context for a human support conversation. A chat interface alone does not decide which answers are appropriate, who may see a document or what actions the system is allowed to take.

The agreed work can include use-case discovery, a knowledge and audience model, conversation and interface design, implementation, selected service connections and evaluation. A limited pilot may be more useful than immediately connecting every document or internal system. We inspect the available material and ask whether a clearer website, structured search or an ordinary form could address the need more simply.

For an AI-assisted approach, the brief should distinguish answering, suggesting and carrying out an action. A model-generated explanation is not an authorised business decision. Any proposed account change, transaction or operational write needs its own permission, validation and confirmation design. We do not assume that a successful demonstration authorises those actions or proves reliability across questions the project has not evaluated.

Choose the smallest assistant role that provides a useful service.

The brief selects the engagement and the responsibilities it includes.

01

Guide visitors through public information

Use a selected set of approved public pages or documents to help people find a relevant answer and its source. Decide how the assistant should respond when the material does not establish the answer.

Discuss before build: Can an ordinary search or clearer page solve the same problem?

02

Support authorised staff knowledge work

Define the intended users and permitted source material before adding an internal assistant. Review how the application enforces access and how staff recognise a suggestion that needs verification.

Discuss before build: Which information may this user actually retrieve?

03

Prepare a human handover

Collect the useful question and context, then route the conversation through an approved receiving process. A clear handover may be preferable to an unsupported answer or an automated action.

Discuss before build: Who receives the unresolved request and what do they need?

Specify the knowledge, behaviour and operating controls.

Agree the outputs and acceptance responsibilities in the written scope.

01

Use-case and audience definition

Identify the task, intended users, decisions outside scope and alternatives to an AI assistant. Select a limited first release where the team can review usefulness.

An explicit purpose for the assistant.
02

Approved knowledge inventory

Record the selected material, its owner, relevant editions and update responsibilities. Exclude information that the audience is not authorised to receive.

A reviewable knowledge boundary.
03

Conversation and interface design

Plan answer presentation, useful source links, clarification and human handover. Make uncertainty visible rather than hiding it behind confident wording.

A conversation people can interpret.
04

Implementation and supported connections

Build the agreed assistant and interface, with the application controls and provider configuration required by the scope. Review supported operations before adding business-system actions.

Documented technical and permission boundaries.
05

Evaluation cases and review evidence

Test representative questions, ambiguous requests, unsupported topics and relevant access boundaries. Record what was checked and where a human response remains necessary.

Evidence for the chosen release, not a universal score.
06

Knowledge and service handover

Agree who updates sources, reviews failures, handles escalations and maintains the supporting application. Include a way to pause or correct an unsuitable release.

An operating process beyond the demo.
Illustrative example, not a client case study

An illustrative product question with two document editions.

A visitor asks whether a named accessory works with a particular product. The approved knowledge set contains a current guide and an older document that uses a similar product name. The question does not identify an edition. Choosing whichever passage looks most similar could give the visitor an answer about a different item.

The assistant could ask for the missing product reference, show the source and edition supporting an answer, or explain that the available material does not settle the question. A handover can carry the visitor's actual question and the relevant references to a responsible person. It should not invent a compatibility decision to keep the conversation moving.

This example is hypothetical and does not provide technical compatibility advice. The business owns the source material and any product decision. The exercise helps define retrieval, clarification, source presentation and escalation cases for evaluation. It also shows why an older document remaining in a folder is not the same as that document being approved for every current answer.

Make the source boundary visible in the answer and the workflow.

01

Clarify the reference that changes the answer

If the product or edition is unclear, define when the assistant should ask a focused question. Do not require an unnecessarily long conversation where one reference can resolve the ambiguity.

Discuss before build: Which missing fact could change the answer?

02

Present the evidence the visitor can use

A source link should lead to approved, accessible material relevant to the answer. Decide how the interface shows document context without suggesting that a citation guarantees the generated explanation is correct.

Discuss before build: Can a person inspect the basis for this answer?

03

Give an unresolved question a real destination

An assistant that cannot answer should explain the limitation and offer the approved handover. Agree what is passed on and what the receiving team can reasonably do next.

Discuss before build: Who owns the question after the automated conversation ends?

Evaluate the questions the assistant should decline or clarify.

Prepare an unambiguous question, one missing a product reference, one supported only by an out-of-scope document and one the source set cannot answer. Review the response, source presentation and handover with the business owner. Where audience restrictions apply, include cases that should not expose another user's material. The application and access controls need their own technical testing; prompts alone are not an access-control system.

Repeat the relevant evaluation when the approved material or implementation changes. Record the reviewed version and unresolved cases so a good demonstration is not mistaken for an unconditional accuracy claim. The operating team should know how to report a wrong answer, correct its source where appropriate and pause the assistant if the observed behaviour falls outside the approved scope.

Keep a responsible person involved throughout the assistant project.

Bring the intended task, representative questions, permitted source material and the receiving support process. Our Ranchi team can review these remotely with the Chicago business owner before proposing the pilot boundary and implementation.

  1. 01

    Select the bounded use case

Compare the assistant with simpler search or content improvements and define the task worth evaluating.

    A use-case brief with exclusions.
  2. 02

    Prepare knowledge and conversation

Review the approved sources, audience and answer or handover design before connecting additional systems.

    A knowledge and behaviour specification.
  3. 03

    Implement and evaluate

Build the agreed scope and examine ordinary, ambiguous and unsupported requests with representative test cases.

    A documented release decision.
  4. 04

    Operate and revise

Hand over source updates, failure review, escalation and pause or correction responsibilities.

A clear owner for the ongoing service.

Questions before commissioning the work.

Do we need an AI chatbot for every support question?

No. Clearer content, structured search or a shorter form may solve the problem with less operating complexity. We compare those options with the intended task and the quality of the available knowledge before proposing an assistant.

Can the assistant change an order or account?

Only operations included in a reviewed implementation scope should be considered. They require supported service interfaces, appropriate application permissions and a clear confirmation and recovery design. A conversational answer does not authorise a write, and feasibility must be checked for the actual system.

Will you promise that every answer is correct?

No. We define the knowledge boundary, useful evaluation cases and human route, then describe the evidence obtained for the selected release. An editorial score, model benchmark or citation is not a guarantee for every future question. Ongoing review and operating ownership remain part of the work.
