Start with the outcome: every enquiry remains readable and traceable
For reliable website CRM integration, save each enquiry before delivery, identify the person, attach the request and source context, then track completion. A contact appearing in your customer relationship management system (CRM) is not enough. Sales must see what prompted the conversation, while your team can establish whether delivery succeeded.
Specify three linked records: the contact holds current personal details; the enquiry snapshot preserves one request; the delivery record tracks attempts, errors and resulting CRM identifiers. This is a proposed design, not a vendor requirement. One person can make several genuine enquiries, while one enquiry may arrive repeatedly through retries.
Map website fields without erasing existing contact details
Agree a field contract: a written specification of destinations, validation and overwrite rules. Preserve the original enquiry even when someone later corrects the contact. Optional blanks must not erase known values. Marketing permission needs separate evidence of the selection and wording shown; requesting a quotation does not establish consent.
| Field | Destination | Validation and overwrite rule |
|---|---|---|
| Full name and email | Contact and enquiry | Preserve original name; avoid guessing surname. Trim email; agree matching rules. |
| Phone and country | Contact and enquiry | Keep raw input and separately validated international value. Ask country; do not guess. |
| Company | Enquiry; approved contact field | Keep submitted text; protect known values from optional blanks. |
| Product code | Enquiry | Validate against approved codes; map fixed choices explicitly. |
| Quantity and units | Enquiry | Validate numeric range and units; distinguish individual units from boxes. |
| Message | Enquiry | Preserve complete accepted text and line breaks; define length limits. |
| Form ID and submission ID | Enquiry and delivery record | Identify the form; keep one submission identifier across retries. |
| Schema version | Enquiry | Record the field-contract version used to interpret this submission. |
| Receipt time | Enquiry | Set on the server in Coordinated Universal Time (UTC); display locally. |
Vendor rules matter. HubSpot’s current Contacts API (application programming interface—the connection other software uses to work with contact records) supports lookup by email and updates by record ID. Fixed-choice fields require internal values, not display labels. Batch upsert, a create-or-update operation, cannot partially update a contact when email is the matching key; HubSpot documents a custom unique identifier for partial upserts. Keep that distinction in the field contract and test omitted-field handling. The implementation must also satisfy the account’s required-field rules. [1][11]
Preserve source context without pretending attribution is complete
Store the landing page captured on arrival separately from the submission page. Keep available UTM parameters: campaign-tracking labels for source, medium, campaign, term and content. Separate the first source your system observed from this enquiry’s source. Neither proves the complete customer journey. Browser referrer policies can omit the previous-page address or reduce it to the originating website. [3]
A hypothetical enquiry-to-CRM workflow
Hypothetical worked example: a Pune industrial supplier receives Kavya’s request for two PUMP-CP units, delivered to Nashik. Her message asks for installation pricing and lead time. She arrives on the industrial pump landing page and submits on the quotation request page with submission ID enquiry-A. Later, she requests spare parts using enquiry-B. These invented requests should become two readable entries on one contact.
- Validate: check required fields, product codes, quantities and message length on the server.
- Save: durably store the enquiry and pending delivery job together before acknowledging receipt.
- Acknowledge: say “Enquiry received”, not “CRM delivery completed”. Keep credentials server-side.
- Resolve: find or create the contact using the agreed email-matching policy; save its CRM identifier.
- Attach: create an associated note containing the request, source snapshot and submission ID.
- Route and finish: apply approved product and territory rules, with a fallback owner. Preserve existing contact ownership and lifecycle stage unless agreed rules change them; record completion.
HubSpot’s current Notes API supports timestamped notes associated with contacts, either when the note is created or afterwards. It requires the hs_timestamp field. [2] Check the note and its association separately from contact creation. The sequence above is a proposed design. Microsoft’s asynchronous request-reply guidance supports stable request identifiers to avoid enqueueing repeated work. [4] If existing contact ownership remains unchanged, assign the enquiry’s follow-up separately rather than silently replacing that owner.
Separate contact matching from duplicate delivery
Kavya’s enquiry-A and enquiry-B are separate business events. A repeat delivery of enquiry-A is not a third enquiry. Keep submission IDs stable across retries and enforce a local uniqueness rule that prevents saving the same identifier twice. Reject changed content under a reused ID as a conflict, without replacing the original request.
Agree cautious email matching; do not universally remove dots or plus-tags. Matching is not identity verification. If simultaneous contact creation produces a conflict, retrieve the existing contact. Review ambiguous identities rather than merging on shared phones or similar company names. HubSpot documents email-based contact deduplication, but companies created through its integration interface are not automatically deduplicated by domain. [5]
Recover from failures without creating more uncertainty
HubSpot documents rate-limit responses and temporary service failures. [6] Use bounded backoff: progressively longer waits with a finite retry budget. Add jitter, a small random variation that prevents synchronised retries. Follow applicable Retry-After delay instructions. Microsoft recommends controlled retries rather than repeated immediate requests. [7][8] Save progress so a failed note does not restart completed contact work.
| Outcome | Required response |
|---|---|
| Rate limit or temporary outage | Retain request; retry within agreed limits and delay instructions. |
| Invalid mapping or fixed-choice value | Stop automatic retries; request correction. |
| Permission failure | Pause affected deliveries; alert integration owner. |
| Contact saved, note failed | Resume note delivery using saved contact ID. |
| Create request timed out | Mark uncertain; reconcile before creating again. |
| Retries exhausted | Show failed delivery; permit authorised replay after correction. |
A timeout may follow a successful remote write whose response was lost. Microsoft explicitly identifies this risk. [7] Local duplicate controls cannot make both systems commit together or guarantee exactly-once delivery. Include the submission ID in each note. Before recreating an uncertain note, inspect associated notes for that ID. HubSpot says new or updated records can take time to appear in search; an immediate empty result does not establish failed delivery. [12] Send unresolved cases for review rather than blindly replaying.
Agree acceptance criteria before approving launch
| Test | Pass condition |
|---|---|
| Complete submission | Every contracted field survives; full message and context are readable. |
| Two enquiries, one email | One matched contact; two distinct enquiry entries. |
| Same-ID retry | One saved enquiry and delivery job; no extra timeline entry. |
| Changed content, reused ID | Visible conflict; original remains unchanged. |
| Optional blanks | Known contact values remain intact. |
| CRM outage | Acknowledgement follows durable capture; pending delivery remains visible. |
| Rate limit | Delayed retries preserve payload, identifier and progress. |
| Invalid fixed-choice value | Actionable mapping error; no endless retry. |
| Uncertain create | Reconciliation or review precedes recreation. |
| Missing source | Request succeeds; unavailable source is not labelled organic. |
| Unmatched territory | Fallback owner receives the enquiry. |
| Traceability | Submission links to attempts, errors, timestamps and CRM IDs. |
Proposed operating targets: deliver healthy-path enquiries within two minutes and alert on pending requests older than ten minutes. These are planning targets, not vendor guarantees. Sales should approve readability and ownership. Name an integration owner for daily monitoring, mapping corrections and authorised replay, with backup cover for absences.
Choose the simplest connector that can pass these tests
Require explicit mappings, durable capture, separate enquiry history, visible delivery status, controlled retries and safe replay. An existing connector reduces maintenance if it demonstrates these capabilities. An additional server-side layer offers missing controls but adds hosting, security and support responsibilities. Add it only where a demonstrated gap justifies that burden.
Before committing to a connector, also verify the target account’s permissions, available fields and request limits. Use the lead-handoff planning guide, “Before automating leads, agree what happens next”, to agree follow-up responsibilities. “Does your team need a custom CRM?” addresses the separate decision of whether the underlying CRM needs replacing.
Which details belong on the contact?
Keep current identity and approved contact details there. Preserve messages, products, quantities and source snapshots with each enquiry.
Is an associated note enough?
For readable history, often yes. Use a dedicated enquiry record when requests need independent reporting, statuses or service commitments.
Should sales resubmit a missing enquiry?
Check delivery status first. An authorised operator should reconcile uncertain results and replay the saved enquiry instead.
Next step: agree the field contract with sales, then ask your implementation partner to demonstrate the acceptance matrix using two distinct requests and one repeated delivery. Approve the connection only when the request, its context and its delivery status remain traceable.
